PRIVACY POLICY

Introduction

The Strategic Coach Inc., with its headquarters in Toronto, offers entrepreneurs and their teams numerous workshops in cities throughout North America on how to economize their time and become more efficient in their professional and personal lives. The various workshops are targeted to individuals who have achieved a certain net annual income. Through the process of applying for a workshop(s), and during the workshops themselves, The Strategic Coach® collects personal information from participants (hereinafter "Clients"). This Privacy Policy is to advise our Clients and visitors of our website what personal information we collect and how we use it. At The Strategic Coach, we adhere to the Ten Privacy Principles as set out in Schedule 1 of Canada’s Privacy Act, namely, the Personal Information Protection and Electronic Documents Act (Canada).

What information do we collect from you when you apply for a workshop?

To become a Client of The Strategic Coach Program™, we ask that you complete an application form. The application form asks that you provide us with information consisting of your name, birth date, company name, mailing address, business telephone and fax number, home telephone number (for emergency use only), e-mail address, a description of your business, the number of employees that you supervise/employ, your personal income level (within a range), as well as some information about what you are looking to attain from participation in The Strategic Coach Program. The application form also asks that you provide us with a cheque or credit card number to facilitate payment of the various workshops or the purchase of workshop materials.

How do we use the information collected during the application process?

We use the personal information that you provide to us on the application form in order to place you in the workshop appropriate for you. By using your information in this way, we ensure that you get the most benefit out of your participation in the workshop.

Personal information recorded during workshops

During some of the workshops, employees of The Strategic Coach — those designated as professional coaches (‘Coaches’) — may ask you to complete a workbook that poses questions about your professional and personal life. For example, it may ask your professional achievements, the time you commit to your professional and personal life, your stated goals for a particular year, or Coaches may record this information in a workbook on your behalf. Coaches may use the workbooks to facilitate your progress through the workshops and to assist you in achieving the goals that you have set for yourself. At the conclusion of the workshop series, the workbooks remain with you for your personal files. Unless expressly stated at the time and your consent obtained, copies of workbooks are not retained by The Strategic Coach.

What information do we collect when you purchase online?

Once a visitor enters the Online Catalogue section of our website, they can browse our catalogue for products. To complete the purchase ("Check Out"), the visitor must log into their account. If the visitor does not have an account, they will be asked to create one to complete the purchase. This requires the visitor to supply the following information:

• Username
• Password
• First name
• Last name
• E-mail
• Phone
• Address
• City
• State/Province
• ZIP/Postal Code
• Country

Once the visitor has created an account, we maintain the information in a secure database. We do not use the information in the database for any purposes other than facilitating visitors’ future orders. We do not store the visitors’ credit card numbers or expiry dates in our database. Consequently, each time the user chooses to purchase an item, their name and shipping address will be pulled from the database, but they will have to re-enter their credit card information to complete the order.

Our policy regarding the disclosure of personal information

Except as set out below, we do NOT rent, sell, or otherwise disclose personal information about our Clients to third parties. In very limited and exceptional circumstances, the federal privacy law permits the use or disclosure of personal information without an individual’s consent. For example, consent is not required if personal information is used or disclosed in an emergency that threatens an individual’s life, health, or security. In such cases, we may have to use or disclose your personal information without your consent.

When you participate in The Strategic Coach Program, your professional and/or personal contact information (e.g. your name, address, e-mail address, and telephone number) will be given to other participants of your workshop through the distribution of a "Roster". Please note that your income range may become known to other Clients placed in the same workshop because of their respective income range.

Retention of personal information about clients

We retain your personal information that we collect during the application process as long as you are a Client of The Strategic Coach Program and for a period of 15 years thereafter. We retain this information for the following reasons: First, so that we may inform our Clients about subsequent workshops that are being offered from time to time; Second, we know from experience that following the completion of one workshop series, Clients often register for additional workshops immediately thereafter, within several months, or within several years. By retaining your personal information, we are better able to chart our Clients’ progress through the workshops. We also retain personal information so that we may determine if a new Client has been referred by a past Client. Please see the instructions below if you would like your personal information corrected, updated, or deleted from our files.

Safeguards

The Strategic Coach protects the personal information that we collect from you during the application process. First, every staff member of The Strategic Coach must sign a Confidentiality Agreement wherein he/she agrees not to use or disclose any personal information about Clients or other individuals who have contacted The Strategic Coach. Second, your personal information is retained on a secure database, which is only accessible by password and is protected by the use of firewalls.

For visitors of our website

Our website uses per-session cookies, which are commonly used tools to facilitate the exchange of information between your brower and our server. These cookies allow us to present, and you to view, certain graphic elements on the website.

Unlike persistent cookies, which are stored on your hard drive for a length of time set by the website, per-session cookies are cached (stored in memory) while you are visiting the website and are set to expire from your cache 3 hours after leaving our website.

The per-session cookies that we set do not provide our website with access to anything else on your system, including private information about you. Only our website can retrieve the per-session cookie.

You can set your browser to detect and reject cookies by taking the following steps. However, please note that if you choose to reject cookies, you will not be able to view all graphic elements of our site.

If you use Internet Explorer:

• Choose Tools in the menu bar, then Internet Options.
• Select the Security tab, then click the zone you would like to change, followed by the Custom button.
• Scroll down to the header titled Cookies, and choose how you would like to handle cookies. You can choose to accept cookies from all sites, refuse to accept any, or be prompted whenever a site wants to send you a cookie.

In Netscape, Firefox, Mozilla, and other Mozilla-based browsers in Mac OS X, you may refuse cookies entirely by setting an option in the Privacy section of the Preferences.

The information we are collecting includes the following:

• The name of your Internet Service Provider, its Internet Protocol address, and the name of your Service Provider’s server. The Strategic Coach makes no attempt to link these addresses with the identity of visitors to our website.
• The length of each visit.
• The number of requests per visit.
• Your type of operating system, i.e. Windows, Macintosh, Unix, etc.
• Your browser type, i.e. Netscape Navigator, Internet Explorer, etc.

The information is collected by the server in an aggregate format so that we can assess those pages that are most frequented by visitors of our site. We do not link this information with the identity of any visitor to our website, to any of the information you voluntarily provide when you visit our site, or when you become a participant in the Program.
